Purchasing Department

The Peach County Purchasing Department is constantly looking for suppliers of the varied goods and services it procures. What do we purchase? Almost everything. The business of the county government consumes large amounts of goods and services.

Specifically, the purchasing department is responsible for the acquisition of materials, supplies, equipment, various services including architectural and engineering services and public work projects (excluding road and bridge projects which are handled by the County Engineer).

The Peach County Purchasing Department manages and coordinates all phases of the competitive solicitation process, including:

  • Vendor research on behalf of county departments
  • Pre-bid conferences and meetings with vendors and contractors
  • Assisting departments in developing bid specifications and scopes of work
  • Bid document preparation
  • Coordination of required advertising and other statutory requirements
  • Public bid openings
  • Bid tabulation
  • Preparation of award recommendations
  • Issuance of award notices and notices to proceed
  • Contract preparation (including change orders)]
  • Contract management
  • Reviews of vendor requests for payment.

The purchasing department works hard to provide a fair and impartial environment to allow all vendors an opportunity to compete for the county's business.

Any business enterprise desiring to be listed on the county's Vendor List may do so by providing sufficient information as listed below to the purchasing department.

The bidders mailing list is updated by submitting a request to be added to the bid list for future and upcoming bids. Peach County requests that the vendor submit, on company letterhead, the name of the firm, type of commodity or service, point of contact, phone and facsimile number, and any other pertinent information. This request can either be sent by fax or mailed to:

Fax number: 478-825-000
Peach County Purchasing Department
205 West Church St. Suite XXX
Fort Valley, Ga. 31030

It is the responsibility of the vendor to keep current the name and address of the firm.

Bid Notification

There are three ways to ensure you know what is being bid, as well as the date and time of the bid closing.

  • All bids will be advertised on the Peach County website.
  • Formal written bids in any amount that exceeds $xx,xxx in value are published in the official newspaper of Peach County, The Leader Tribine.
  • You may also visit the purchasing department between the hours of 9 a.m. and 5 p.m. Monday through Friday, to view bids. At that time, you may request a bid package for any open bid for which you feel confident that your firm may offer competitive bids, as well as leave any information on your company's product line for commodities, services or construction.

Depending on the project projected budget; Peach County may charge a fee for plans and specifications. As a general rule, charging for project plans and specifications is as follows:

Plans and Specification Fees
Under $100K - $xx.xx
$100K - $300K - $xx.xx
Over $300K - $xx.xx
The county reserves the right to charge fees more than $75 depending on the cost of engineering the project.

If you would like to visit the purchasting depatment, for the best utilization of your time, as well as ours, appointments may be set up prior to your visit with the purchasing staff by calling 478-825-XXX.

Bid Opening

Bids are publicly opened on the advertised date, time shown on the bid sheet and newspaper advertisement, in the office of the Peach County Purchasing Department (unless otherwise advertised).

Bid Awards

Do you have a local bidding preference policy? If so, I need it here.

The purchase order or contract may be awarded to the lowest bidder who meets or exceeds what was prescribed. Peach County Competitive Bidding Procedures require that the Board of County must select and award any procurement that exceeds $xx,000. Vendors under contract with the county are subject to all federal, state and local Laws.

Bid Rejections

When it is in the county's best interest, the county reserves the right to reject any and all bids.
